The Challenge
A growing Montessori preschool chain in Salem, Tamil Nadu needed to digitize their entire school operations. They were managing attendance with paper registers, collecting fees with handwritten receipts, and communicating with parents via WhatsApp groups. With multiple branches planned, they needed a unified system that complied with Tamil Nadu's EMIS education standards, served both parents and staff through dedicated portals, and worked flawlessly on mobile devices in regions with varying connectivity — all without requiring parents to download a separate app.
Our Solution
We built Papa Escola — a complete school operating system consisting of three interconnected applications sharing a unified Prisma-backed database with role-based access control and full audit logging. The Parent Portal gives parents real-time visibility into their child's attendance, homework, fees, and school events through a mobile-first progressive web app secured with phone+DOB authentication. The Admin ERP provides school staff with a powerful dashboard to manage students, mark attendance, collect fees, assign homework, and broadcast circulars — all with quick-action cards and a command palette (⌘K) for rapid navigation. The Public Website serves as the school's digital storefront, showcasing Montessori programs and driving admissions with conversion-optimized CTAs.
What we built
Parent Portal
Mobile-first dashboard with real-time attendance tracking (67% visual summary), quick access grid for 10+ modules including Gallery, Homework, Calendar, Meal Menu, Fees, and Messages. Secured with phone+DOB 2-step authentication and an SOS emergency button for instant school contact.
Admin ERP Dashboard
Comprehensive school management console with at-a-glance stats (students, classes, teachers, parent accounts), quick-action cards for daily tasks (Add Student, Mark Attendance, Send Circular, Collect Fees, Assign Homework, View Reports), and a command palette (⌘K) for instant navigation across all modules.
Attendance Management
Daily class-wise attendance marking following TN EMIS standards with color-coded monthly calendars, automated parent notifications on absence, and detailed analytics. Parents see real-time attendance percentages and historical views on their portal.
Fee Management
Structured fee schedules per class and term with payment recording, digital receipt generation, outstanding balance tracking, and annual fee summary views. Parents view detailed breakdowns of tuition fees and full transaction history with approved receipts.
School Diary & Communications
Homework assignment push from admin directly to each parent's portal, circular broadcasts to all parents, teacher remarks per student, and a unified notification system with 14+ notification types. Eliminates the need for WhatsApp group chaos.
Public Marketing Website
Conversion-optimized Montessori preschool landing page with playful illustrations, program showcases (Play Group, Nursery, LKG, UKG) with age-specific developmental goals, photo gallery, admission CTAs, and SEO-optimized content driving organic enrollment inquiries.
